When you create an account or use the Service, we may collect the following information that you voluntarily provide:

  • Contact information such as name, email address, and phone number

  • Payment and billing information

Organization & Business Data

To provide inventory management services, we collect information about your organization including business name, locations, products, recipes, supplier details, inventory counts, purchase orders, and related operational data that you enter into the Service.

Point-of-Sale (POS) Integration Data

When you connect a POS system (such as Clover, Toast, or Square), we access the following data from your POS account through authorized API connections:

  • Merchant information — business name and account identifiers, used to verify your account and configure the integration.
  • Menu/inventory items — product names, SKUs, prices, and categories, used to sync your menu into Happy Bar for inventory tracking and recipe costing.
  • Order and sales data — completed transaction details including line items, quantities, and totals, used to calculate expected inventory usage, detect variance, and generate reorder suggestions.

We access this data on a read-only basis. We do not modify, create, or delete any data in your POS system.

Automatically Collected Information

When you visit or use the Service, we may automatically collect certain information, including:

  • Device identifiers and hardware information

  • Browser type, version, and language preferences
  • Operating system and platform
  • Pages visited, features used, and interactions with the Service
  • Referring URLs and search terms

3. How We Share Your Information

Happy Bar does not sell, rent, or lease your personal information to third parties. We may share your information in the following circumstances:

  • Service providers — third-party vendors who help us operate the Service (e.g., hosting, payment processing, email delivery, analytics). These providers are contractually obligated to protect your data and may only use it to perform services on our behalf.
  • POS platforms — only to the extent necessary to authenticate and maintain your integration connection. We do not share your Happy Bar data with your POS provider.
  • Aggregated data — we may compile and share anonymized, aggregated statistical data that does not personally identify you. This data may be used for industry analysis, benchmarking, or to improve the Service.
  • Legal requirements — if required by law, regulation, legal process, or governmental request.
  • Protection of rights — to enforce our Terms of Service, protect our rights, privacy, safety, or property, or that of our users or the public.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership.

4. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to collect and store information when you use the Service:

  • Essential cookies — required for the Service to function, including session management and authentication.
  • Analytics cookies — help us understand how the Service is used so we can improve it. We may use third-party analytics providers such as error tracking and performance monitoring tools.
  • Preference cookies — remember your settings and preferences (e.g., theme, language).

You can manage cookie preferences through your browser settings. Disabling essential cookies may prevent you from using certain features of the Service. We do not currently use cookies for targeted advertising.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your data within 90 days, except where we are required to retain it for legal, accounting, or compliance purposes. Anonymized, aggregated data that does not identify you may be retained indefinitely.

6. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encryption in transit (TLS/SSL) and at rest
  • Access controls and role-based permissions
  • Secure, access-limited server infrastructure
  • Regular security reviews and vulnerability monitoring
  • Employee access restrictions on a need-to-know basis

However, no method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee that data may not be accessed, disclosed, altered, or destroyed by breach of any of our safeguards.

7. Ownership of Data

You retain ownership of all data you submit to the Service. We do not claim ownership over your business data, inventory records, or any content you create within the Service. We only use your data as described in this Privacy Policy and our Terms of Service.

8. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your data
  • Export your data in a portable format
  • Withdraw consent for data processing where consent is the legal basis
  • Object to processing of your data for certain purposes
  • Disconnect your POS integration at any time, which stops all future data syncing
  • Opt out of marketing communications by clicking the unsubscribe link in any marketing email or by contacting us

To exercise any of these rights, contact us at support@happybar.app. We will respond to your request within 30 days.

9. Third-Party Services

The Service integrates with or contains links to third-party services (e.g., Clover, Toast, Square, Stripe). These services have their own privacy policies, and we encourage you to review them. We are not responsible for the privacy practices of third-party services.

10. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete that information promptly.

11. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. By using the Service, you consent to the transfer of your information to the United States and other jurisdictions where we operate.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page, updating the "Last updated" date, and where appropriate, sending you an email notification. Your continued use of the Service after changes are posted constitutes acceptance of the updated policy.
